Memorandum of Understanding

Network Customers Maintaining Connections From Remote Locations to the Campus Network (printable version)

Dedicated data circuits integrated with the campus network are used to provide connectivity for workgroups outside the contiguous campus. As UW and any affiliated staff at these remote locations are not assessed the campus network fee, costs beyond network electronics at the campus connection are the responsibility of the workgroup.

This document details the expectations and responsibilities of the Division of Information Technology [DoIT] and _________________________________________ [Workgroup] located at _____________________________________________________________ regarding the management of the remote circuit and associated network hardware.

Supported Services

The following services are provided by DoIT:

  1. Connectivity Assessment: assist in determining options with recommendations which may include dark fiber, data circuits from telecommunication communications companies (telcos), wireless or other alternatives. Assistance during procurement (liaison with telco’s and other providers for options and pricing) and installation (facilitation and coordination) is also available

  2. Network Electronics: recommend, facilitate purchase, configure and install network hardware at the remote location including routers, switches and other supported equipment. Vendor maintenance is required on all supported equipment and will be synchronized with the annual billing of port/usage fees (below). This will ensure support during hardware failures as well as the availability of software upgrades. DoIT provides network electronics at the campus connection port.

  3. Monitoring: provide 24 x 7 monitoring by the DoIT Network Operations Center (NOC). Both supported hardware and circuits are monitored. Follow-up includes remote and onsite diagnostic, coordinating with vendor maintenance including replacement of failed equipment if needed and reporting circuit problems to the telco provider.

  4. Backup: configurations on all supported equipment (router, switches, etc)

  5. Sparing (as available): DoIt will provide loaner network hardware on a temporary basis if a reasonable substitute is available. This includes configuration and installation of the loaned equipment and installation of permanent replacement hardware.

  6. Planning: An annual review of supported equipment by DoIT network engineers with upgrade recommendations when needed. The primary concern is to have equipment upgraded before manufacturer support is discontinued so recommendations should be available sufficiently in advance to enable planning future budgets.

Unsupported Services

DoIT is unable to offer or support the following services:

  1. Cross Campus VLANs: integration is not possible as this architecture is being phased out

  2. Firewall: campus data network services provided with the Cisco Firewall Services Module (FWSM) is not available for external circuits.

Customer Responsibilities

  1. Telecommunication costs: Customer is responsible for all telecommunications circuit costs including one time and recurring charges. These may be coordinated by DoIT and billed back.

  2. Hardware: Customer is responsible for recommended equipment and maintenance.

  3. Connection Fee: Customer is responsible for port/setup charges for connecting to the campus network. Included is labor for installation and maintenance as well as are usage fees. Usage fees are based on a fraction of circuit capacity.

  4. Change Notification: customer is responsible for notifying the DoIT NOC about any planned outages or unplanned interruption of services for monitored devices or circuits when the interruption of service is originated at the customer site. This would include power outages, equipment moves etc.
