This page describes the process for obtaining access to data contained in the UW-Madison University Directory Service (UDS). It is assumed that you have an application-specific need for information about students, faculty or staff to be used for official UW Madison administrative or academic purposes and that your need is consistent with the UDS Appropriate Use Policy (AUP). The UDS AUP was approved by the UW-Madison Identity Management Leadership Group on July 7, 2005 in order to provide guidelines for judicious and secure use of UDS data.
UDS data is available in various formats, such as delimited or non-delimited flat files, Oracle data views, etc. The request process begins with the requester sending an email to udsrequests@doit.wisc.edu, briefly outlining their request for data. The requester also completes the UDS request form and questionnaire. The form is then printed and the signed by the requester. MST technologists then meet with the requester to determine what specific data is needed and also to assist in filling out the form and our questionnaire at that time. The form is then forwarded to the DoIT Security Group and to the appropriate data custodians for approval. Data Custodians (Office of the Registrar for Integrated Student Information System (ISIS) data and Office of Human Resources for Integrated Appointment Data System (IADS) data) have the ultimate say in who may be authorized to access their data and for what purpose. After approval by the data custodian the form goes back to DoIT Security for final signatures. Once approval has been obtained, the MST group will provide details on the schedule and cost of the development work entailed in the request and any ongoing maintenance that may be required.
