Mass Email -- Email Address

Faculty/staff
According to University Legal Services, faculty and staff cannot withhold their campus email address, because it is deemed to be public information.

Why should faculty and staff have an email address on file?
If your office mail shelf is half empty but your email inbox is overflowing, you're part of a growing trend on campus. Many campus departments are now reaching out electronically to the University community in addition to using traditional mail. Email distribution of important University information is rapidly increasing, so it's more important than ever for faculty and staff to have an accurate email address on file with the campus.

How do you put an email address on file?
UW-Madison faculty and staff email addresses are maintained by the Employee Compensation and Benefits Services (EC&BS) office. Once a year, EC&BS sends an "Employee Information" form to all faculty and staff, asking them to review their address information, including campus email address. If your email address is incorrect on the EC&BS form, it is incorrect on all official campus listings, and you should update it.

DoIT uses the email address on file with EC&BS to provide the campus mass email service. EC&BS maintains the data; but each employee is responsible for placing his or her email address on file, correcting it if necessary, and updating it if it changes.

To obtain an "Employee Information" paper form, contact your payroll coordinator or call EC&BS at 265-2257.

Students
To put your preferred email address on file use EASI (Extended Access to Student Information). If you need assistance call DoIT's Help Desk at 4-HELP.

As a student, you have the right under the Family Educational Rights and Privacy Act of 1974 to request that the University withhold your address information from public distribution.

However, you will continue to receive mass emails that are pertinent to your education. To withhold your address information, complete a form at Window 17 or 21 in the A.W. Peterson Building. If you have any questions about this matter, please contact the Registrar's Office.

If you are a University employee, as well as a student, and you have put a work-related email address on file with the UW-Madison Employee Compensation and Benefits Services office via the 'Employee Information' form, you will start to receive university-related email as an employee. Contact your payroll coordinator or call EC&BS at 265-2257 to obtain the paper form.
