Overview

 

Over the last several months, DoIT has been developing a student portal in coordination with several groups across campus.  The main purpose of this portal is to provide efficient access to course materials and personalized resources in support of a student’s academic career.   An advisory group has provided feedback in the development of the portal, as have other groups throughout campus. Much positive feedback has been received thus far as to the importance of a student portal.  A pilot test of over 500 biology students began in the fall semester 2000, and there are plans for a more extensive rollout of the portal to other student groups on campus.

 

In its development, DoIT has received some student feedback.  About a year ago, a student focus group was conducted to obtain feedback on initial ideas for a portal.  In the Spring and Summer 2000, DoIT met with individual students to conduct prototype testing of the portal.   In addition to these efforts, two focus groups were held with the biology students in the Fall.  This effort will be followed up by end-of-the Fall semester online evaluation of the portal, directed at all biology students with access to the portal.

 

The purpose of this document is to summarize the results of the Fall focus groups held recently with biology students.  The objective of these focus groups was to evaluate the usability and functionality of the “My UW-Madison” web portal.

 

Of interest were the following questions:

 

·        How can we improve the portal?

·        To what degree are students currently using the portal and does it have potential for a more expanded use soon in its current version?

 

Two focus groups were held (Tuesday, October 24 and Thursday, October 26) with a total attendance of 10 biology students.  Each focus group met for about 1 1/2 hours.  Students provided written comments and then participated in a group discussion of the portal.    They identified their wants/expectations, how they currently use the portal, difficulties with the portal, tab by tab description of strengths and areas of improvement, an overall assessment and background information.  Numerical assessments were obtained for the different features and the overall portal based on the following 0-100 scale:

 

0       Worse score possible—little evidence of excellence—start over!  This is not a good idea!

25     Below average---really needs a lot of work—students will be really turned off by it

50     Average—acceptable but nothing special—some students may or may not find it helpful

75     Above average---moving towards excellence/definitely has promise/students will want more

100   Best score possible---level of excellence---highly recommendable for students to use—students will love it!

 

 

 

 

Results

 

Table 1 shows the seven broad needs mostly described in student words that stood out based on written comments and group discussion. (Appendix A provides a more detailed description of student needs/wants/expectations).

Table 2 provides a high level summary of the student’s assessment of the portal.  It is clear that the portal still needs more development before students needs are met.  In fact, students provided many ideas of how the portal could be improved (see Appendices B-C). Overall, the participants of the focus groups thought that the portal has good potential, but not yet quite a “WOW.” This is also apparent by examining the average scores for the entire portal and for each major tab as shown in the table below.  Most of the students who participated in the focus groups are not using the portal as their main entry point to the Internet, nor are they using the portal very frequently.  This may have something to say about the portal’s attraction for daily use by students. 

 

What appears to be missing for many of the students is the following:

 

·        Interesting and engaging appearance

·        Content or features that attracts students to use the portal on a daily basis

·        More personalization of the portal

·        Information that they cannot already obtain from current existing links

 

There were some students who think there is something still missing but not able to put their fingers on what is missing.

Future plans for the portal were described to the focus groups (web-based e-mail, on-line registration, advisor e-mail, improved calendar, more financial account information).  There was some evidence to suggest that student assessment of the portal would increase dramatically (90-95%) if all what is planned in the future with the portal actually occurs. 

 

If improvement of the portal is to occur, it is clear that there must be at least three major areas addressed: development resources, campus coordination and policy issues.   Table 3 shows what needs to happen to be able to improve the portal and make it more usable for students on campus.  Appendix A provides more a more detailed description of student needs and the status of the portal.

Conclusions and Recommendations

 

The results from the Fall focus groups comprised of biology students provide some evidence to suggest that the My UW-Madison student portal is promising and holds potential.  These results confirm what previous student interviews and focus groups have concluded.  However, the portal has key features that are missing or need enhancement for it to gain wider acceptance and use within the student population.  These features include web-based e-mail, personalized calendar and online registration.  They also include making the portal more attractive and adding features that attract students to want to use it as a port of entry on a daily basis. 

 

The following are recommendations:

 

1. Wait for full release of the portal until more key features can be incorporated into the portal.

 

The danger of releasing a product that still has some key features missing is that an unfinished product may leave a negative impression with students and it may be hard to “win them back” after the portal has been significantly improved.  Key features include web-based e-mail and a personalized calendar.

 

2. Refine the portal to make it more attractive, engaging and desirable to be used on a daily basis by students and as a port of entry to the Internet.  However, aim at achieving a balance between student needs, campus needs and available resources.

 

It is important to consider student needs in the design of the portal.  This includes looking at the color scheme and design in addition to identifying what daily pieces of information might attract students on a daily basis (i.e. news, horoscope, stock prices, etc.).  However, not all features or options may be feasible and thus it is important to obtain a balance between student needs and other considerations such as campus needs and available resources.

 

3. Address all additional content-related improvement issues raised by the students..

 

It is clear that the content-related issues such as course and advisor information organized in a meaningful way is important for students.  There are many improvements that can be followed up from the focus groups.  In addition, there were several error-related issues that may be relatively easy to fix that are identified in the appendices of this report.

 

4. Investigate more thoroughly other commercial portals such as Yahoo to see what we could learn from them.

 

At least two focus group participants mentioned that they were using the Yahoo portal, yet were only using the My UW-Madison portal sporadically.  It appears that we could learn from other portal offerings and designs.

 

 

 

 

 

 

5. Continue to plan more ways to obtain student feedback in the full development of the portal.

 

If students are to use the portal, continuing to ask for ways to obtain student opinion using different formats (focus groups, feedback button, e-mail surveys, individual interviews) about the portal is important.  Also important is identify what the “something missing” is for students using the portal.

 

6. Develop a promotional and education plan for more extensive use of the portal by students.

 

It is apparent from the focus groups that almost all of the students were not using the portal as their entry point to the Internet.  In addition, there were participants in the focus groups who needed more assistance in understanding how to fully use the portal, how to personalize options and how to use portal features.  A more expanded tutorial may be needed, in addition to talking with students about how to optimally use the portal.

 

7. Commit serious resources to deliver a portal that will obtain a high level of excellence.

 

It will take resources to coordinate discussion among many groups across campus regarding the portal, in addition to continue to develop and fully market the portal to students and beyond.
